Questions to Ask Before Hiring Your Vendors

Hiring event vendors can be exciting, but it can also feel like a lot. There are proposals to compare, contracts to review and plenty of details that may not come up until you know to ask.

The right vendor team should make planning feel easier, not more complicated. Whether you are organizing a wedding, corporate gathering or private celebration, a few thoughtful questions can help you understand what each company offers and whether they are the right fit for your event.

What Is Actually Included?

This may sound obvious, but it’s one of the most important questions to ask.

Two proposals can look similar at first glance while including very different services. One vendor may include staffing, setup, breakdown and equipment, while another doesn’t.

Ask each vendor to walk you through the proposal and explain exactly what’s included. It will make comparing options much easier and help prevent any unexpected additions later.

Who Will Be Your Main Point of Contact?

It’s always helpful to know who you will be talking to throughout the planning process.

The person who leads your initial consultation may not be the same person overseeing your event. Ask who will answer questions, provide updates and manage details on the day itself.

A clear point of contact means fewer crossed wires and less time wondering who you should email next.

Have They Worked on Events Like Yours?

Every event has its own personality and set of logistics.

A large corporate celebration, intimate wedding and milestone birthday may all require different timelines, staffing and service styles. Ask whether the vendor has experience with events that are similar in size, setting or overall feel.

Relevant experience often means they can spot potential challenges early and offer solutions before those challenges ever become a problem.

Have They Worked at Your Venue?

Previous experience at a venue can certainly be helpful, but it’s not a requirement.

A vendor who knows the space may already be familiar with loading areas, parking, kitchen access, event rules and setup requirements. If the venue is new to them, ask whether they plan to schedule a walkthrough or connect with the venue team ahead of time.

A great vendor will take the time to understand the space rather than simply showing up and hoping for the best.

What Staffing and Equipment Are Included?

Staffing and equipment can vary quite a bit from one vendor to another, so it’s worth asking for specifics.

Find out how many team members will be assigned to your event and how that number is determined. Depending on the service, you may also need to ask about tables, linens, service pieces, lighting, sound equipment or other rentals.

The goal is to make sure every responsibility has an owner and that nothing important is left floating between vendors.

What Happens When Plans Change?

Because sometimes they do.

Weather shifts, guest counts change and timelines move. The best vendors know how to adjust without making the client feel like the entire event is unraveling.

Ask how they typically handle last-minute changes, delays or unexpected issues. You are not looking for someone to promise that nothing will go wrong. You are looking for someone who knows what to do when something does.

What Are the Payment and Cancellation Policies?

This is not the glamorous part of planning, but it’s definitely one of the important parts.

Ask how much is required to reserve the date, when payments are due and which payments are nonrefundable. Make sure you also understand the vendor’s cancellation, postponement and rescheduling policies.

Clear expectations now can save a lot of confusion later.

Are There Any Additional Fees?

Some costs may not appear in the first number you see.

Ask about delivery charges, travel fees, overtime, service fees, staffing minimums and rental costs. It’s also helpful to know what may happen if the event runs longer than planned.

A transparent vendor should be comfortable explaining where additional charges could come from.

Can You See Reviews or Examples of Past Work?

A beautiful portfolio is a great start, but it doesn’t tell the whole story.

Reviews can offer insight into communication, reliability, professionalism and how a vendor handles the planning process. Pay attention to what past clients say about the experience, not only how the final event looked.

The best feedback often mentions how supported and confident the client felt along the way.

How Do They Work With Other Vendors?

A successful event is a team effort!

Your planner, venue, caterer, photographer, entertainment team and other vendors may all need to coordinate schedules, setup needs and transitions. Ask how each vendor communicates with the rest of the team and what information they need in advance.

Vendors who collaborate well can make the entire event feel smoother behind the scenes and more effortless for guests.

Finding the Right Fit

The right vendor isn’t always the least expensive option or the company with the biggest social media following.

It’s the team that understands your priorities, communicates clearly and makes you feel confident about the process. Asking the right questions gives you a better sense of how each vendor works and whether you can picture them as part of your event day.

A strong vendor team should bring experience, personality and peace of mind to the table. The celebration is the fun part. The people you hire should help it stay that way.
